Accessing the POS
Before accessing the POS, ensure you're using a compatible POS device. When launching the Lightspeed Restaurant app for the first time or after installing it on a new device, begin by signing in to Back Office.
To access the POS:
- Log in to Back Office with your Lightspeed credentials.
- From the Home section, click POS.
- Select the register to assign to the POS device. If a register appears greyed out, it means it is already assigned to another device, but you can still select it to reassign it. For more information, refer to our article on managing POS device assignments.
- Select your user profile.
- Enter your POS PIN. The default PIN for each POS user is 1111.
Understanding the POS layout
Once you've signed in, the POS menu is displayed. Understanding the POS layout helps you quickly locate products and manage orders. The screen is divided into three main sections:
- Categories: The section on the left used to browse and select different menu groups, such as food, drinks, or meal types.
- Products: The items displayed in the center that are available for sale within the selected category.

Order summary: The section on the right where all selected items are displayed before being sent to the kitchen or processed for payment.
Processing an order
Once you've finished setting up your POS and signing in, you're ready to process customer orders. As you add products to an order, they appear in the order summary, where you can review the sale before proceeding to checkout.
To process and complete a transaction in the POS, your user account must have at least the Basic POS or Front of House permission.
To process an order:
- Select a category to view all available products.
- (Optional) For dine-in orders, if the Tables feature is enabled, tap Tables, then select the table where the customer is seated.
- Tap the products within the category you want to add to the order. Alternatively, you can search for a product using the search bar along the top of the screen.
- (Optional) If a product has linked Option Sets or Variants, select the options to include in the order, then tap Save.
- (Optional) You can add an order note, such as the table number or customer name, or include any special instructions. This note is displayed at the top of the production docket.
- Once you're finished adding all items, tap Check Out.
- Select the customer's preferred mode of payment. If you're using Lightspeed Payments or other integrated payment processor, the order total is automatically sent to the payment terminal and the sale is completed once payment is confirmed.
- (Optional) If your register is set to prompt for a receipt, enter the customer’s email to send a digital copy of the receipt, then tap Email receipt.
