Managing your site information

Managing your site information is essential for keeping your business running smoothly. Maintaining accurate details ensures your receipts, reports, and customer-facing information stay consistent. This article walks you through keeping your business details in Lightspeed Restaurant organized and up to date.

Only users with admin or manually-enabled sites permission can access and modify site information in Back Office.

Setting up your site information

Setting up your site information ensures your venue presents accurate, compliant, and consistent details across every customer touchpoint. This includes updating your site details, trading times, receipt options, and online ordering settings.

Site Details

By default, your site name and business number will show in customer receipts. All other details are optional and can be enabled or disabled in your receipt settings.

To set up your site details: 

  1. Log in to Back Office with your Lightspeed credentials.
  2. From the navigation menu, select My site > Site Information. Here, you can update the following:
    • Site Name: Enter your trading name. If your business operates across multiple locations, you may include the specific location for this site.
    • Site logo: Click the gray square next to Site Name to upload a logo for your business. This logo will appear on your customer-facing display if you've set up one.
    • Business Number: This is the field where you enter your Australian Business Number (ABN) or New Zealand Business Number (NZBN). This information is customer-facing and is generally a legally required field.
    • Phone: Your primary business phone number that customers use to contact you. 
    • Email: This is your primary business email address used for customer communication and notifications.
    • Business type: Select the category that best describes your business. This information is not visible to customers.
    • Website: Enter the URL of your business website or social media profile. This allows your customers to easily find and learn more about your business online.
    • Takings Reconciliation: Select how you want to finalize your takings at the end of each day or shift. You can reconcile by register, site, or staff. 
      • By Register: Choose this option if each POS register has its own cash drawer and payment terminal, and your standard workflow is to close them individually.
      • By Site: Choose this option to close off all of your POS terminals together at the end of each shift or trading day.
      • By Staff: Choose this option if each sale processed by a staff member is paid using separate cash drawers or payment terminals. This is used in conjunction with the Staff Level Order Control feature.

If you manage multiple sites, you'll need to manually edit the site details for each location, as these settings are not shared across all sites.

Site Address

Under the Site Information section, scroll down to Site Address to enter your business address. Lightspeed Restaurant uses this information to ensure you have access to region-specific features and integrations.

Trading times

Under Trading times, enter your trading hours and time zone. This is helpful if you're using Insights Live to get reports that match your business activity relevant to your local hours.

Under Site payment options, select the payment type you want to use for quick checkout transactions. For more details, refer to our guide on setting up fast payment on the POS

Receipt options

Choose which details appear on your customer receipts. By default, your site name and business number are always displayed. Below, you can enable or disable the following options:

  • Address: Toggle to Yes to show your business address at the top of customer receipts. 
  • Phone: Toggle to Yes to include your business phone number on receipts.
  • Website: Toggle to Yes to display your website on receipts.
  • Email: Toggle to Yes to include your business email address on receipts.
  • Print large order number: Toggle to Yes to print the order number in a larger format for easier visibility.
  • Print $0 products: Toggle to Yes to include products priced at $0 on receipts, such as complimentary items.
  • Print $0 modifiers: Toggle to Yes to print on-screen and product-linked modifiers that are priced at $0. This will not affect your production dockets.
  • Print product notes: Toggle to Yes if you want to include any product notes entered in the order to print on the receipt. This will not affect your production dockets.
  • Print customer details: Toggle to Yes to print the customer's name and phone number on the receipt. This only applies to customers added to Lightspeed Restaurant. 

You can also choose to edit the receipt footer and decide how to send email receipts to customers.

  • Edit receipt footer: Customize the footer text that appears on customer receipts by entering more details about your business or adding a promotional message. 
  • Send receipts to customers via email: Choose whether to send receipts automatically, manually, or disable email receipts. If you're using the Accounts feature, you can set this to automatic so customers will get email receipts after every account sale.

Online ordering

In this section, you can manually modify product and site details that apply exclusively to online orders. If you've integrated with a third-party online ordering app, entering this information is optional, as the online ordering platform may or may not automatically import these details depending on its capabilities.

  • Store description: Write something to give your customers a summary of your business. 
  • Pickup address: You can use the site address listed under site details or enter a different address for customers to pick up their orders. 
  • Dietary Information: Indicate any dietary options your products cater to, such as Vegan, Organic, Kosher, Gluten-Free, etc.
  • Store tags: Enter keywords or phrases that help categorize your store and make it easier for customers to find online.
  • Directions: Provide instructions or guidance for customers to reach your store or pickup location.
  • Promotional images: Upload images that highlight your products or any special offers to attract customers.
  • Choose when to complete online orders: Choose how and when online orders get tagged as completed on the POS.

Frequently asked questions

How do I control which payment options appear at my POS?

You can manage which payment types are accepted and available on your POS by navigating to Back Office > Company Settings > Payment Types. For detailed instructions, check our guide on managing your payment types.

Where do I enter my ABN in Lightspeed for my customers' tax receipts? 

You can enter your Australian Business Number (ABN) in the Business Number field under Site Details. Once entered, your ABN will automatically appear on customer receipts.

Are there any limits to the characters or formatting in the receipt footer?

Yes. Each line of the receipt footer can contain a maximum of 38 characters due to receipt width limitations. To ensure readability, keep messages concise and avoid complex formatting.
