Managing your Lightspeed Restaurant subscription

This guide will walk you through how to upgrade or downgrade your subscription if you find a plan that better fits your needs. You'll also learn how to pause or cancel your account if your business is closing temporarily or permanently.

Upgrading or downgrading your subscription

Upgrade: As your business grows, Lightspeed has a range of flexible plans that scale with you. Upgrade to access more features across POS and add-ons such as Insights. 

Downgrade: Downgrading is different from cancelling. Cancelling means you no longer need our service, while downgrading means that you still want to stay with us but just change to a plan that best suits your needs.

You will find these options on the Subscriptions page, along with Pause plan and Cancel site subscription.

To change your subscription: 

  1. Log in to Back Office.
  2. Go to Home → Subscriptions.
  3. If you have multiple sites, choose the site you want to manage.
  4. Select Change plan.
  5. Choose your POS plan (Step 1). This step also lets you choose whether to be billed monthly or annually.
  6. Select your add-ons (Step 2).
  7. Review all changes on Step 3 and select Confirm.

What happens after you confirm depends on the change you made.

Upgrades take effect straight away. You’ll see a success message, and you’re charged a prorated amount for the rest of your current billing period.

Downgrades take effect on your next billing date. You keep your current plan, features and add-ons until then, and there’s nothing to pay today. See Scheduled changes below.

You must have a valid payment method on file to confirm a plan or add-on change. If no payment method is available, you’ll see a message prompting you to add one before continuing.

Changing your add-ons only

If you want to update only your add-on subscriptions (for example, Insights, Purchase, Produce), you can skip the POS plan step.

To change add-ons only:

  1. Log in to Back Office.
  2. Go to Home → Subscriptions.
  3. Select Change add-on plans.
  4. Step 2 will open directly, allowing you to add or remove eligible add-ons.
  5. Review and confirm the changes on Step 3.

Entering via Change add-on plans skips Step 1 entirely and keeps your current POS plan.

Scheduled changes

Some changes are scheduled rather than applied straight away. Downgrading your POS plan, removing add-ons, or moving from annual billing back to monthly all take effect on your next billing date instead of immediately.

This means you keep the plan you have already paid for until the end of your current billing period. Your features and add-ons stay available until the change takes effect, and nothing is charged when you schedule it.

While a change is scheduled, the Subscriptions page shows a banner with the date it takes effect. From there you can:

  • Select View details to see exactly what is changing and when.
  • Cancel the scheduled change at any time before that date, which leaves your subscription exactly as it is now.

We’ll email you to confirm the change when you schedule it, send a reminder seven days before it takes effect, and confirm again if it is cancelled. The total shown is an estimate, because it can move if you add or remove registers or other products before the change takes effect.

You can only have one scheduled change at a time. While a change is pending, Change plan, Change add-on plans, Pause plan, Transfer site ownership and Cancel site subscription are unavailable. Cancel the scheduled change first if you need to do something different.

Registers and kiosk devices can still be added or removed while a change is scheduled. These adjust your estimated total but do not affect the scheduled change itself.

Pausing your subscription

The Pause plan lets you temporarily stop using Lightspeed while keeping all your data and settings intact. It costs $5/month and is best for businesses that are closing temporarily. POS sales are disabled while your subscription is paused, but you can reactivate at any time.

Pausing has its own option on the Subscriptions page, separate from the Change plan flow above.

To request a pause:

  1. Log in to Back Office.
  2. Go to Home → Subscriptions.
  3. If you have multiple sites, choose the site you want to pause.
  4. Select Pause plan.
  5. A short form opens in a new tab. Select your reason for pausing and submit the form.

Submitting the form does not immediately pause your account. Under the Lightspeed Service Agreement, all plans require at least 30 days' notice prior to your next billing date. A team member will contact you to confirm the details, and your current plan and billing continue as normal until the pause is processed.

Pause plan is unavailable while you have a scheduled change pending. Cancel the scheduled change first.

Cancelling your subscription

Cancelling your subscription moves your site to the $0 Lite plan, which is limited to 10 sales per day. If you’re only closing temporarily, consider the Pause plan instead.

To request a cancellation:

  1. Log in to Back Office.
  2. Go to Home → Subscriptions.
  3. If you have multiple sites, choose the site you want to cancel the subscription of.
  4. Select Cancel site subscription.
  5. A short form opens in a new tab. Select your reason for cancelling and submit the form.

Submitting the form does not immediately close your account. Under the Lightspeed Service Agreement, all plans require at least 30 days' notice prior to your next billing date, and cancelling before the end of a term may involve early termination fees or specific exit procedures. A team member will contact you to confirm the details, and your current plan and billing continue as normal until the cancellation is processed.

If you have multiple sites, you’ll need to cancel each site separately. Cancel site subscription is unavailable while you have a scheduled change pending.

Frequently asked questions

I downgraded my plan but nothing has changed. Why?

Downgrades take effect on your next billing date rather than straight away, so you keep the plan you have already paid for until then. Your current plan, features and add-ons stay exactly as they are in the meantime. The Subscriptions page shows a banner with the date your change takes effect, and you can cancel it any time before then.

My scheduled downgrade hasn’t removed an add-on or feature yet. Is something wrong?

No. Features and add-ons affected by a scheduled change are only removed when the change takes effect on your next billing date, not when you schedule it.

Can I make another change while one is already scheduled?

You can only have one scheduled change at a time. To make a different change, cancel the pending one first from the banner on the Subscriptions page. You can still add or remove registers and kiosk devices while a change is scheduled.

How much notice do I need to give to pause or cancel?

Under the Lightspeed Service Agreement, all plans require at least 30 days' notice prior to your next billing date. Selecting Pause plan or Cancel site subscription opens a short form to submit your request. It does not pause or close your account straight away. A team member will contact you to confirm the details, and your current plan and billing continue as normal until the change is processed.

How does the billing cycle work? What happens if I change my plan mid-month?

If you upgrade mid-cycle, you’ll be charged a prorated amount immediately. Then, at your next billing date, you’ll pay the full amount for the upcoming month. Lightspeed Restaurant bills in advance, so downgrades wait until your next billing date. There is nothing to refund, because you keep the plan you have paid for until the period ends.

Can I pay annually instead of monthly?

Yes. Step 1 of the Change plan flow lets you switch between monthly and annual billing, and paying for the year upfront saves you money on your POS plan. Annual billing works differently from monthly in a few important ways, so read our guide to annual billing before you switch.

Why can't I see Lightspeed invoices in Back Office?

Only the Site owner, Admins, or users with the View billing invoices permission can access invoices. If you have the correct access, you can find them in the Invoices section in Back Office.

Why does Back Office say that my POS plan is a “legacy plan”?

This message appears when your site is on an older pricing structure that we no longer offer to new customers. You can keep using your legacy plan, but if you select Change plan, you’ll need to move to one of our current POS plans and won’t be able to switch back. If you only want to update your add-ons, choose Change add-on plans instead.

Can Lightspeed delete all my account data?

Yes. In accordance with GDPR, if you’d like your account data permanently deleted, contact our team at o-series.support@lightspeedhq.com to submit your request.
