Setting up MOTO with Lightspeed Payments

Lightspeed Payments allows you to process Mail Order/Telephone Order (MOTO) transactions in situations where the customer's card is not physically present, such as for reservation deposits, upfront payments, or phone orders.

Setting up MOTO payments

To start accepting MOTO payments, you'll need to enable the MOTO feature in Back Office and update your payment terminal configuration. Complete the setup by following the instructions below.

Enabling MOTO in Back Office

Users with admin permission can enable MOTO payments in Back Office. If you don’t have admin access, an admin user will need to grant you the Manage Lightspeed Payments permission before you can make any changes.

To enable MOTO:

  1. Log in to Back Office with your Lightspeed credentials.
  2. In the navigation menu, click Integrations
  3. Search for and select Lightspeed Payments.

  4. Under the Settings tab, scroll down to MOTO
  5. Toggle the switch to enable.

  7. Click I understand and enable

  8. Manually sync the POS or sync your registers from Back Office. 

Updating the payment terminal configuration

Whenever you make changes to your Lightspeed Payments account, such as enabling MOTO, you'll need to manually update the configuration of your payment terminal to ensure the changes take effect immediately.

To update the payment terminal configuration:

  1. On the terminal touchscreen, tap Settings.
  2. Tap Config.
  3. Enter the admin PIN: 5773.
  4. Tap Update. The terminal will automatically restart and update its settings. This process may take several minutes.

Integrated MOTO payment processing

Once MOTO is enabled, users with the Process MOTO Transactions permission can process transactions directly in the POS. If a user doesn't have this permission, they can select an authorized user to approve the transaction by entering their PIN.

To process an integrated MOTO transaction:

  1. Enter the order as usual in the POS.
  2. Tap Check Out.
  3. Select MOTO.
  4. (Optional) If the logged-in user does not have the Process MOTO transactions permission, a list of authorized users will appear. Select one and enter the POS PIN to proceed.
  5. On the paired payment terminal, you'll be prompted to enter the following card details:
    • Card number
    • Expiry date
    • CVC/CVV code
  6. Tap Continue on the terminal screen or press the Confirm key, depending on your payment terminal model.

Once payment is successfully processed, Approved will appear on the payment terminal display. The POS screen will show Transaction Successful and ask whether you'd like to send an email receipt to the customer.

Manual MOTO payment processing

Unlike integrated MOTO payments via the POS, manual MOTO transactions are standalone and not linked to a POS order. They appear in your Lightspeed Payments reporting under standalone transactions, which helps with tracking and reconciliation. 

Merchants are responsible for verifying manual MOTO transactions and should always proceed with caution. Refunds for manual MOTO payments must be processed via Financial Services in Back Office.

To process a manual MOTO payment:

  1. On the terminal touchscreen, tap Transactions.
  2. Tap New Transaction.
  3. Enter the admin PIN: 5773.
  4. Select MOTO payment.
  5. On the payment terminal, enter the following card details:
    • Card number
    • Expiry date
    • CVC/CVV code
  6. Tap Continue to complete the payment. 

Once payment is successfully processed, Approved will appear on the payment terminal display.

Frequently asked questions

How do I issue a refund for a MOTO transaction?

Refunds for integrated MOTO transactions can be processed directly through the POS system. For detailed steps, refer to our article on refunding a sale on POS.

Manual MOTO transaction refunds can be processed through the Financial Services section in Back Office. 

Is there a maximum limit for charging via MOTO?

The maximum transaction value per MOTO transaction is $2,500. If you require a higher limit, contact our Support Team to submit a request.

What is the merchant fee for MOTO transactions?

MOTO transactions are classified as Card Not Present (CNP) transactions. The applicable merchant fee is based on the CNP rate specified in your Lightspeed Payments contract. For any questions about your rates or contract details, reach out to your Lightspeed Account Manager.

Can I apply surcharges to pass on merchant processing fees to customers?

Yes. Lightspeed Payments supports automatic surcharging for MOTO transactions based on the current Card-Present (CP) rate configured in the payment surcharge section in your Back Office. For any questions related to your rates or contract, reach out to your Account Manager.

Which Lightspeed Payments terminals are compatible with MOTO?

MOTO functionality is supported on all Lightspeed Payments terminals.
