Configuring your product settings, such as adding a product image, helps keep your POS looking sharp and professional. Whether you're cleaning up your stock list or updating your cost of goods, these will ensure your system stays accurate and visually appealing.

Adding an image to a product

Before editing product settings, you must first add your products. Refer to our guide on how to add your products in Back Office

To add a photo to a product:

  1. Log in to Back Office with your Lightspeed credentials. 
  2. From the navigation menu, select Products
  3. To open the product settings page, click the product initials or the cogwheel icon on the right.

  4. Under Product Info, click the product initials. This will let you access your system files to select the image.

  5. Crop the image as needed, then click Save

Use images sized around 500 x 500 pixels in JPG or PNG format with equal sides. Avoid sizes that are too large since the image is only an icon, or too small to prevent blurriness. 

Advanced product settings

When you open up the product settings page, you will find several tabs along the top of the page.

Product Info details

Other tabs are covered in separate guides, as they include more customization options that have detailed explanations: 

Product Info

  • Product Number: A field that is automatically populated when you export your menu via CSV. It stores a custom identifier for each of your products. 
  • Product Name: The name of your product or modifier. This must be unique across all your products. These names will also print on tax receipts, production dockets, and will show on your purchase orders or stocktake sheets. Staff can search for this name description using the search bar in the POS.
  • Measured: Use this field to specify if the product (or stock item) is measured in units, by volume, or by weight. If you choose to set by volume or by weight, you can specify a default size.
  • Barcode: A scannable code assigned to a product for quick lookup. It can be used with a barcode scanner or entered manually in the POS search bar. 
  • SKU
  • Description:  A detailed explanation of the product. This function will be utilized in the future, allowing users direct access to additional information whenever they need it.
  • Tags:  Keywords used to group and categorize products for reporting, searching, and filtering. This is useful for organizing by supplier, location, or product type. Multiple tags can be added by separating them with spaces. 

If you have a large product list, bulk importing can be a quicker and more efficient way to add your products.

Product prices

  • Sell Price: The selling price of a product is at the company level. To set up prices for individual sites, you can set this up using Price Lists.
  • Sell Tax: The tax type applied when selling a product. If the required tax type isn't listed, you can create and manage your taxes in Back Office
  • Variable Price Prompt: Use this option if the product varies at the time of sale, such as market price, open food, or any item without a fixed price. Toggle this setting to Yes and define a price range.

  • Cost Price: A fixed company-wide cost price assigned to the product. If you're using Lightspeed Inventory to manage stock purchases, this value is replaced by the Average Cost Price
  • Cost Tax: The specific tax type applied when purchasing a product from suppliers. If the tax type isn't listed, you can manage your tax settings in  Back Office.
  • Average Cost Price ($): This is the average cost calculated from purchase orders over the last 30 days. 

Product options

  • Make this product a modifier: Modifier is a common adjustment to a product that customers might request, like soy milk for coffee or a rare-cooked steak. Modifiers aren't typically sold on their own. Enable this setting to mark the product as a modifier. 
  • Print Production Ticket: This toggle controls whether the product prints, regardless of your general production printing settings
  • Variable Quantity Prompt - Enable this option to prompt staff to enter a quantity each time the product is sold. 

Product management

  • Sites: Select which sites the product should be available at. This option is only relevant if you have more than one site under your Lightspeed company.
  • POS Categories: Assign the product to your preferred POS categories by checking the appropriate boxes. 

Accounting settings

Some customers still use our legacy accounting integrations, but for most users, you can safely ignore the following sections:

  • Cost of Sales Account
  • Income Account for Tracking Sales
  • Asset Account for Item Inventory

Instead, focus on the three toggles below, which control how the product is managed in your Back Office and inventory.

  • I Buy This Item: Enable this if you purchase the product from suppliers using purchase orders in Back Office. Turn it off for items you make in-house and don't buy externally. 
  • I Sell This Item: Enable this to allow the product to be sold through the POS. Turn it off for items not sold directly, such as raw ingredients or components used in recipes. 
  • I Stock This Item: Enable this to include the product in stock counts and manage its inventory levels. Turn it off for items you sell but don't track stock for, like coffees or open food. 

Frequently asked questions

Where do I go to update product pricing?

You can update the selling price and cost price in the product settings. To set site-specific pricing, use Price Lists in Back Office. 

How do I see my Gross Profit (GP%)?

You can view and see your gross profit percentage by accessing the Sales by Report.
