Setting up time and attendance

Time and attendance in Lightspeed Restaurant allows you to accurately track staff shifts and break times in the POS. This enables you to monitor attendance data and generate comprehensive attendance reports for payroll processing.

Lightspeed Restaurant can be integrated with supported platforms such as Deputy, Tanda, or Employment Hero for seamless rostering and payroll management.

Enabling Time & Attendance

Before you can track shifts and break schedules on the POS, the Time & Attendance feature must be enabled in Back Office. 

To enable the Time & Attendance: 

  1. Log in to Back Office with your Lightspeed credentials. 
  2. From the navigation menu, select Features
  3. Search for and select Time & Attendance

Managing shifts and breaks

Shifts and breaks are tracked on the POS through clock-ins, clock-outs, and break entries. Each staff member must be added as a user to record and monitor shifts and breaks. 

To manage shifts and breaks:

  1. On the POS, the initial screen displays the Active Users and All Users tabs. Select All Users
    • Active Users: Shows all users that are currently logged in and actively using the POS. Your name appears here automatically if you need to log back in after the app goes into sleep mode or temporarily locks. 
    • All Users: Shows all users with access to POS or Back Office regardless of their current login status. Select All users to choose your name when submitting clock-ins, clock-outs, and break entries.

  2. Enter your PIN. The default PIN is 1111. This can be modified for each staff member in Back Office. 
  3. Select the corresponding toggle to record the start and end of shifts and breaks.  Time options include Start Shift, Start Break, End Break, and End Shift

  4. (Optional) To log in as another user from one POS device, click Switch User > All Users, then select your name to manage your attendance.

Accessing the attendance report

The attendance report shows a clear breakdown of all shifts, including when shifts started and finished, break durations, and total hours worked with and without breaks.

Tags allow you to categorize users within attendance reports. You can group employees by Front of House (FOH) or Back of House (BOH) to separate labor data into cost centers for reporting, or by part-time or full-time status to generate separate attendance reports. 

To access the attendance report:

  1. Log in to Back Office with your Lightspeed credentials. 
  2. From the navigation menu, select Reports > Attendance
  3.  Use the advanced filter to search by timeframe, staff name, site name, and tags, then click Filter.

Frequently asked questions

Do I need to enable the Time & Attendance feature to integrate with a third-party rostering software?

Yes, you must enable the Time & Attendance feature to allow staff to clock in and out directly from the POS. This allows the data to sync over to your integrated rostering or payroll software. 

How do I assign scheduled shifts, edit logged shift hours, and manage my payroll?

Scheduling and payroll management are handled through our supported third-party rostering or payroll software. Lightspeed Restaurant only tracks staff time and attendance and provides corresponding reports.
