With Lightspeed Insights, you can download, share, and and schedule reports to ensure your team has access to timely, up-to-date insights. Reports can be sent manually or delivered automatically on a recurring schedule.
Before sending or scheduling a report, ensure the appropriate filters are applied when viewing or creating the report so the correct data is included. Scheduling reports is available with the Insights Share or Custom plan. If you have questions about your plan, contact your Lightspeed Account Manager.

Downloading reports
You can download a copy of your reports for offline use. This allows you to review data anytime and share it with your team when needed. Both pre-made and custom reports can be downloaded in Lightspeed Insights.
To download your reports:
- Log in to Lightspeed Insights with your Back Office credentials.
- Click the vertical ellipsis (⋮).
- Select Download.
- In the Format dropdown, choose between PDF or CSV file.
- Click Download.
Sending and sharing reports
Custom reports can be shared with your team in multiple ways. You can download them in PDF or CSV format and send them manually to your team, or send them directly from the custom report creation page in your preferred format.
To send and share your reports:
- Create the report in Lightspeed Insights.
- Once you're finished, click the cog wheel (Settings).
- Select Send.
- Enter the following info:
- Title: The name of the report that appears on the file format or email.
- Where should this data go: Select the destination for the report, such as Email, Webhook, Amazon S3, SFTP, or Google Sheets.
- Delivery details: Specify the recipient email address or destination details based on the option selected in Where should this data go. For example, enter email addresses for email delivery, a webhook URL for webhook delivery, or the relevant connection details for Amazon S3, SFTP, or Google Sheets.
- Format data as: Choose the format in which the report data will be delivered. Available format options vary based on the destination selected in Where should this data go.
- Advanced options: Configure additional optional settings such as data limits, email, and format options.
- Click Send.
Scheduling reports
You can automate report delivery by creating schedules for your reports. This feature is available to users with Admin, Share Insights, or Build Insights permissions.
To schedule your reports:
- Create the report in Lightspeed Insights.
- Once you're finished, click the cog wheel (Settings).
- Select Save and schedule.
- Enter the following info:
- Give your schedule a name: Enter a clear, descriptive name to identify the schedule of your report.
- Where should this data go: Select the destination for the report, such as Email, Webhook, Amazon S3, SFTP, or Google Sheets.
- Delivery details: Specify the recipient email address or destination details based on the option selected in Where should this data go. For example, enter email addresses for email delivery, a webhook URL for webhook delivery, or the relevant connection details for Amazon S3, SFTP, or Google Sheets.
- Format data as: Choose the format in which the report data will be delivered. Available format options vary based on the destination selected in Where should this data go.
- Trigger: Select what option initiates the report delivery. This could either be the Reporting interval or Datagroup update.
- Deliver this schedule: Set the timing for when the report is sent.
- Filters: Apply any specific filters to include only the relevant data.
- Advanced options: Configure additional settings, including whether to send the report even if no data is available, data limits, email preferences, format options, and the time zone.
- (Optional) To create additional schedules, click New. You can enter and edit schedule details before saving both schedules.
- Click Save All.
